Is monitoring of the e-mail by managers ethical (It is legal.) Support your answer. [ 3 marks]
Monitoring the emails is legal but it does not make it ethical the term ethics is a word that is defined by everyone’s own set of mind and the rules he use to adopt in his life like if one thing is unethical for one person may be it is ethical for other person so it depend upon human psychology to get offended by certain actions or not. So when the employee come to work place he had a little bit of privacy in his work space because he cannot just throw away his life out when coming to work but it is his duty to work efficiently instead of wasting time as he is using the employers resources and getting paid. So yes it is ethical but only to some extent to keep track of and watch over employees emails but this watch must not be too much. It must be to extent that employee know that their activities have been watched over and it’s not like that they can do whatever they can.
Question 2:
To what extent do organizations now depend on the success of information technology to stay in business? [ 2 marks]
Organizations now a days depend on technology so much that they can not do even one day with out it because of technological advancement and the electronic age it is becoming more and more difficult to cope up with the modern day business system. Like cash system has been replaced by the credit card system so if an organization is not providing credit card services then obviousle the market share must be cut doen to only cash customers. Also now a days the internet surfing is more than newspaper reading you can target more audiebce through internet so organization in order to make people aware of them have to use internet instead of old traditional methods. And also there are countless reasons that a business have to depend ona successful information system technology now a days.

Can you think of definitions of information systems other than the one presented in handouts?
What are the advantages and disadvantages of these definitions compared withthe one we adopted?

Proposed Definition
Information systems are the ways to provide the users readable information to help them achieve their objectives. These systems capture, transmit, store, retrieve, manipulate and then make it available to display information.
Advantages of Proposed definition:
This Definition explains:
1. Control and manipulation of data before representing or make it available to public
2. The components stressed for system must not necessarily have to interrelated
3. This emphasize on general objective which not specifically have to be decision making
4. This definition is given by keeping in mind the general public not the businesses specifically
Disadvantages of Proposed definition:
1. This definition generalize things
2. There is no significance of coordination and interrelation mentioned.
3. The definition is not much focused one.

Answer:
Yes it’s legal and ethical for managers to monitor but only for following reasons:
a. Following a company policy
b. Conserve and keep the secrets of the organizations
c. Out flow of the critical information is denied through unauthorised mailers
d. Company is saved from any misquoted or misleading information
e. The work is done secretly and not announced to keep the ego of workers alive
f. Policy is announced clearly by the company on employment of the workers in order to make them mindful of utilizing the email facilities privately or officially
In Case the answer is to be NO, then you may see following lines:
Monitoring the emails is legal but not necessarily ethical. This is only one condition that company has announced no such policy to the employees of the company about such monitoring. Such monitoring would thus be only unethical and also breaking the privacy of the users. Each member is human and has his own rights under the international laws and privacy is one of the basic right, along with right to speak, right to convey etc. The worker has personal life which cannot be monitored by any manager under any rul.

Now this all depend on the technology being used by the organization. The World Wide Web has revolutionized the information technology as of now. A successful information technology would always give the organization an edge over its competitors in the market. To stay in the business the company is required to have most successful information technology.

Though the definition presented in the handouts is very comprehensive and cannot be outdated nor disregard, however to answer this question I may alter the definition as following:

Advantages of Proposed definition:
1. Enough for general usage
2. Shows how information is derived
3. General public understanding is better
4. Information understanding is better

Solution:
Ethically it is not fair to check the email of your employee by a manager or anyone in the normal life. But if there is an official bounding by the company or a policy stating the privacy rule of the official email addresses of the employees, it is not just fine to check the email of the employees but also a duty to check the email addresses of the employees regularly. Email addresses provided by the company to the employees on their official mail server is a property of the company and should be used very carefully and formally and the private/personal use of this email address must be addressed strictly.

To what extent do organizations now depend on the success of information technology to stay in business?
Solution:
Organizations, today, are almost 100 percent dependent on the available information about their business and work area and many organizations have developed data warehouses to maintain their data and to process it to get information for specific purposes. In this advanced and technology dependent era there is no way to prosper without adopting a proper IT system.

Solution:
Handouts definition is:

Definition I suggest:
Information system is a process to collect, maintains, manipulate and evaluate the data, to get a better vision of organizational working and progress, in order to predict and plan the future outcomes.
What are the advantages and disadvantages of these definitions compared with the one we adopted?
Advantages:
• Easy to understand and implement
• No special or scientific type of wording used
• Can generalize the idea of information system in every aspect of organizational working
• Can easily be understood by an irrelevant or an low educated person
Disadvantage:
• Much informal to be presented in the business world
• Does not cover all the aspects of information systems in general life
